Cancellation Policy
Nexus Business Centre — Meeting Room Cancellation & Rescheduling Policy (UK) Effective date: 28 July 2025 Applies to: Meeting rooms, day offices, and training rooms booked with Nexus Business Centre via nexusswindon.co.uk, email, phone, or on‑site. (Long‑term office licences are excluded and follow their own terms.) 1) Cancellations 5 or more calendar days before the start time: Full refund of room fees. Less than 5 calendar days before the start time: 100% of the booking value is payable and non‑refundable. No‑shows: Charged at 100%. “Days” are calendar days, measured to the booking’s scheduled start time in the Europe/London time zone. 2) Rescheduling 5+ days before the start time: One reschedule permitted free of charge, subject to availability. Less than 5 days: Rescheduling is treated as a cancellation and charged at 100%. 3) Multi‑day or recurring bookings Each booked day is treated as a separate session for the purpose of the cancellation window. The 5‑day rule applies to each session’s start time. 4) Add‑ons, catering & third‑party costs Confirmed catering, equipment hire, or other third‑party costs already incurred at the time of cancellation are payable in full and are non‑refundable, even if the room fee is refundable. 5) How to cancel or reschedule Send written notice to bookings@nexusswindon.co.uk (or use your booking confirmation link). Please include your booking reference, room name, and date/time. The effective time of your request is when we receive your email/online submission. 6) Refunds Approved refunds are made to the original payment method within 10 business days of confirmation. Transaction/merchant fees are non‑refundable unless the cancellation is due to our error. 7) Our right to cancel If Nexus must cancel (e.g., building issues, safety, force majeure), you may choose a full refund or a rebooking at the earliest available time. This is our sole liability. 8) Late arrival & use of time Your room is available only for the booked slot. Late arrival does not extend the booking window, and unused time is not refundable. 9) Changes to this policy We may update this policy periodically.
